These terms describe the conditions under which an event organizer is permitted to use the Company’s designated event space. By entering into an agreement, the organizer receives a limited, non-exclusive, and revocable right to use the location strictly for the agreed event and must comply with all applicable laws, building rules, and occupancy limits. The space is accepted in its current condition, and the organizer is responsible for maintaining it and restoring it after use, excluding normal wear. Any damage caused during the event must be repaired at the organizer’s expense.
The Company may have staff present during the event and retains control over the premises at all times. Cleaning services are provided at a basic level, but any excessive cleanup will result in additional charges. Structural changes or alterations to the venue are not allowed under any circumstances. The organizer is also required to act responsibly and ensure that guests behave respectfully and do not engage in disruptive, unsafe, or damaging activities. The Company reserves the right to remove individuals or terminate the event if necessary.
The organizer assumes full responsibility for interactions between guests and others present at the venue, as the Company is not liable for disputes or incidents involving third parties. Audio and visual equipment may be provided if arranged in advance, and the organizer must ensure it is returned in proper working condition or cover repair costs. The equipment remains the property of the Company and may be removed if misused.
Payment terms require a deposit at the time of booking and full payment by the event date. Additional expenses, such as overtime or damages, must be settled promptly. Cancellation policies vary depending on timing, with refunds available only if sufficient notice is given. If the Company cancels, the organizer may receive a refund or reschedule, but no further liability is assumed by the Company.
Certain activities are strictly prohibited within the venue, including smoking, illegal substance use, hazardous activities, and events involving excessive noise or restricted categories such as gambling or medical services. Pets are generally not allowed unless required by law. If alcohol is served, the organizer must comply with all relevant laws, ensure it is legally obtained, and prevent service to minors or intoxicated individuals. The organizer accepts full liability for any alcohol-related incidents and agrees to release the Company from responsibility.
Security measures may be required depending on the nature of the event, and associated costs are typically the organizer’s responsibility. The Company may request identifying information in the event of security issues. The organizer must also follow all operational rules, including restrictions on deliveries, storage, and occupancy limits.
Accessibility efforts will be made where possible, but the organizer must communicate any accommodation needs and assumes responsibility for related claims. The Company retains broad rights to use media captured during the event, including photos and videos, for promotional purposes without compensation. The organizer may also take photos or videos but only of their own event and guests, and such content may also be licensed to the Company.
The organizer accepts that the use of the venue carries inherent risks and agrees to waive claims against the Company for injuries or damages, except where prohibited by law. Personal property brought into the venue is at the organizer’s risk, and the Company is not responsible for loss or theft.
Indemnification provisions require the organizer to cover any claims or damages arising from the event, including legal fees. The Company’s liability is limited to the amount paid under the agreement and excludes indirect or consequential damages. In cases of unforeseen events such as natural disasters or public health emergencies, the parties will attempt to reschedule, but if that is not possible, the agreement may be terminated without further liability.
The agreement does not create a lease or property interest and establishes only a temporary right to use the space. The organizer may not transfer their rights without approval, while the Company may assign its obligations. All terms are governed by Pennsylvania law, and disputes are resolved through arbitration. Additional health and safety requirements, including those related to public health conditions, must be followed, and violations may result in removal from the premises or penalties.
